How do I move a personal email archive (.pst file) to Microsoft 365?

Since personal email archives (.pst files) are stored locally on your computer, it’s not possible for ITS to migrate them to Microsoft 365 (M365) along with all of your other emails. However, you can use the instructions below to manually import .pst archives to your M365 account — giving you access to all of your messages from any device.

Windows

  1. Open Outlook
  2. Close all .pst files you want to import (right-click the .pst in the folder list and choose Close Outlook Data File)
  3. Exit Outlook
  4. Relaunch Outlook 
  5. Choose File > Open & Export
  6. Choose Import/Export
  7. Select “Import from another program or file” and click Next
  8. Select “Outlook Data File (.pst)” and click Next
  9. Browse to the .pst file and click Open
  10. Choose whether you want to allow, replace, or not allow duplicate items. Then click Next
  11. If you want to import the entire .pst file, select the main folder containing all subfolders. Then select the checkbox labeled “Include subfolders” OR if you only want to choose certain folders, expand the Outlook Data File until you see a specific folder you want to import. Select that folder. Then select the checkbox labeled “Include subfolders
  12. Select the option labeled “Import items into the current folder” and click Finish 
  13. The emails and folders should appear in the currently selected folder. From there you can drag and drop messages and folders to other locations.

Mac

  1. Open Outlook
  2. Select File > Import
  3. Select the file type to import: Outlook for Windows archive file (.pst)
  4. Locate the file on your computer and choose Import
  5. Click Finish. The imported items should appear under “On My Computer”
  6. Drag the folder(s) to your Microsoft 365 account.
