Access Requests

The Office of the Registrar serves as the Student Records approver for various CUNY systems. As a result, the Registrar is consulted when approval needs to be granted to staff and faculty on campus. Below you will find a standard list of pages/sites that you may get access to depending on your role on campus.

For all access forms where a signature is required, users must use a “wet” signature. As of April 2024, electronic signatures are no longer accepted.

Regardless of which system access is being requested for, students, temporary employees, or consultants, must also have a Non-Public University Information Data Access Waiver (NPUI) on file. When an access request is submitted to our office, the NPUI form must accompany the form. Requests will not be processed if there is no NPUI on file with ITS.

BC Navigate (EAB)

BC Navigate (EAB) is a collaborative communication and data analytics tool that the University uses to support our students. Students can use BC Navigate to communicate with their advisors, major appointments, and more. More information about BC Navigate can be found here. The Office of the Registrar approves access to BC Navigate (EAB).

The CUNY EAB User Access Request Form, must be submitted in order to gain access to BC Navigate.

Requesting Access

  • Individuals should email the form with the first page completed. This includes the Managerial Approval.
  • If you are unsure what access you need, contact Estefania Ponti, Associate Director of Student Success and EAB Navigate Manager, at estefania.ponti@brooklyn.cuny.edu.
  • Approved forms are sent to the Registrar for final approval.

After we receive your form with the first page completed and appropriate roles are checked off, we will submit the form for processing.

BC WebCentral Queues

On BC WebCentral, you will find queues to submit/approve various requests, such as:

Access to queues in BC WebCentral may be granted to chairs, faculty, or staff depending on your office and role on campus.

Some BC WebCentral queues require the use of a personal Access-code. The Office of the Registrar does not have access to create or reset access codes. If you have any issues with your access-code, reach out to ITS for support.

Requesting Access

If you need to access a BC WebCentral queue, please send the request to studentrecord@brooklyn.cuny.edu. Requests must include your full name and EMPL ID number.

CUNYfirst

Many of our transactions, from administering class permissions, approving permit requests, reviewing class rosters, submitting VOE roster, and grades, are done in CUNYfirst. Advisors also use CUNYfirst to view student records for advisement purposes.

The CUNY Campus Solutions Access Request Form, must be submitted in order to gain access to CUNYfirst.

New faculty do not need to submit this form to gain access to their Faculty Center. This access is granted automatically.

Requesting Access

  • Individuals should email the form to our office with the first page completed. This includes the Managerial Approval.
  • Email us (contact information below) to let us know what access you need. If you are unsure of what you need, we will work with you to find out!
  • If your manager/supervisor is unable to sign off on the PDF, they may email us to let us know that they approve the requested access.

After we receive your form with the first page completed, we will make sure the appropriate roles are checked off and the necessary signatures from other offices (e.g., Admissions, Financial Aid, and/or Student Financials), if required, are received. Then, we will submit the form for processing.

DegreeWorks

DegreeWorks is a powerful advisement tool that outlines bridges student degree requirements. DegreeWorks should be utilized by any one that advises or assists students with their degree progress.

The CUNY DegreeWorks User Access Request Form, must be submitted in order to gain access to DegreeWorks.

Requesting Access

  • Individuals should email the form to dgw@brooklyn.cuny.edu with the first page completed. This includes the Managerial Approval.
  • If you are unsure what access you need, the DegreeWorks team will provide guidance.
  • The DegreeWorks Administrator on campus will sign off on your request.
  • Approved forms are sent to the Registrar for final approval.

After we receive your completed form with the DegreeWorks Administrator signature, we will sign off and submit the form for processing.

Schedule Builder

Schedule Builder is a tool, accessible to students in CUNYfirst and staff here, that allows students to plan their class schedule and register for classes for the upcoming semester. With this tool, students can arrange selected courses into conflict-free timetable options, making it easier to see what available options best fits into their personal and academic lives. Advisors/administrators can use this tool to assist with student registration and view scheduling analytics.

The CUNY Schedule Builder User Access Request Form, must be submitted in order to gain access to Schedule Builder.

System Login Assistance

With the exception of BC WebCentral, access to the systems above require a CUNY login (single sign on). Issues with your login credentials should be directed to the ITS Help Desk at helpdesk@brooklyn.cuny.edu or 718-951-4357.

Assistance with BC WebCentral login or access-codes may also be directed to the ITS Help Desk.

Processing Time
The amount of time it takes for access requests to be fulfilled varies on the type of roles being requested and if additional approval is required by other offices on campus or CUNY Central.
